What should a quote request form include?

Ask for the details that change your price, and nothing else. For most service businesses that means:

  1. The service needed

    What they want done, in a few words or picked from a list. It tells you right away whether it’s your kind of job.

  2. Size or scope

    The one or two measures that drive your price: rooms, square footage, vehicle size, window count, or truckloads.

  3. Condition

    How much work it really is. Ask directly about what adds time, like stains, buildup, pets, or clutter.

  4. Location

    A ZIP code or address, so you know it’s in your area and can plan drive time.

  5. Timing

    Two or three preferred dates, or “flexible.” Then your quote can include a time.

  6. Photos

    Optional, but the fastest way to see what words leave out.

  7. Contact info

    A name, plus a phone number or email to send the price to.

Why collect photos with a quote request?

Photos show what customers don’t think to mention: the stain on the back seat, the moss on the north side of the roof, the stairs between the sofa and the truck. Two or three photos can often replace a site visit.

Keep photos optional, and say which shots you want. “The worst spot, up close” gets better photos than “send pictures.”

Quote or estimate: what’s the difference?

A quote is a set price for the job as described. An estimate is a best guess that may change once work starts. Many small businesses use the words interchangeably, and customers usually just want a number.

What should an estimate request collect?

The same details as a quote request, plus anything that could change the final number, like hidden damage or access you won’t know about until you arrive.

Should your quote form be online?

Yes, if you want requests that arrive complete. An online form:
